Join us at Ashford Festival and connect with a vibrant community! We’re offering affordable pitches for just £40, covering both festival days—an ideal opportunity to raise awareness, fundraise, and engage with local supporters.

🔹 Charities and CICs: In order to help raise funds and contribute to a lively festival atmosphere, we ask that you provide a small fair game for visitors to enjoy. These games should be priced at no more than £2.00 per game.
🔹 Please Note: We cannot accept applications for food vendors selling on-site prepared food (e.g., burgers, hot dogs) or for sideshow/fairground rides—these must be arranged separately via hello@theashfordfestival.co.uk.

The Ashford Festival – Pitch Holder Terms and Conditions
1. General Information 1.1 These Terms and Conditions apply to all individuals, businesses, and organisations (“Pitch Holders”) allocated a space (“Pitch”) at The Ashford Festival (“the Event”). 1.2 By applying for and accepting a Pitch, Pitch Holders agree to abide by these Terms and Conditions. 1.3 The Event organisers (“the Organisers”) reserve the right to amend these Terms and Conditions at any time.
2. Applications and Payments 2.1 All applications for a Pitch must be submitted via the official application form by the specified deadline. 2.2 Pitches will be allocated on a first-come, first-served basis and at the discretion of the Organisers. 2.3 Full payment for the Pitch must be received by the due date specified in the invoice. Failure to pay on time may result in the cancellation of the booking. 2.4 Pitch fees are non-refundable except in cases where the Event is cancelled by the Organisers.
3. Pitch Allocation and Set-Up 3.1 Pitch locations will be determined by the Organisers, taking into account space availability and event logistics. 3.2 Pitch Holders must set up their Pitch within the allocated timeframe provided by the Organisers. 3.3 All Pitch structures, including stalls, gazebos, and signage, must be secure and comply with safety regulations. 3.4 Pitch Holders must not exceed their allocated space or obstruct pathways. 3.5 Pitch Holders must provide their own power supply, as none will be provided by the Organisers. 3.6 All Pitch Holders must bring a weighted gazebo to ensure stability and safety. 3.7 Pitches must be set up and ready by 11:00 AM when gates open. Site access will be available from 8:00 AM on both days. 3.8 Traders must complete both days of the Event and are not permitted to pack up early or leave before the Event concludes.
4. Trading and Compliance 4.1 Pitch Holders must comply with all applicable laws, including trading standards, food hygiene regulations (if applicable), and health and safety requirements. 4.2 Pitch Holders are responsible for obtaining any necessary licences, permits, and insurance. 4.3 The sale of alcohol, tobacco, fireworks, and other prohibited items is strictly forbidden unless prior authorisation has been granted by the Organisers. 4.4 Pitch Holders must clearly display pricing and business details. 4.5 Pitch Holders selling food items must provide details of the local authority they are registered with and a link to their online listing.
5. Health, Safety, and Insurance 5.1 All Pitch Holders must provide a valid public liability insurance certificate with a minimum cover of £2 million upon request. 5.2 Any electrical equipment used must be PAT tested and safe for use. 5.3 Open flames, generators, or gas-powered equipment may only be used with prior written permission from the Organisers. 5.4 Pitch Holders are responsible for maintaining a safe environment for both staff and customers.
6. Waste Management and Clean-Up 6.1 Pitch Holders must keep their area clean and dispose of waste responsibly in designated areas. 6.2 Any damage caused to the site by the Pitch Holder must be rectified at their expense. 6.3 All Pitch equipment must be removed by the end of the Event unless otherwise agreed with the Organisers. 6.4 All pitch waste must be removed and taken away by each Pitch Holder to help maintain our minimal waste site.
7. Conduct and Behaviour 7.1 Pitch Holders and their staff must conduct themselves in a professional and respectful manner. 7.2 Any form of discrimination, harassment, or disruptive behaviour will result in immediate removal from the Event without refund. 7.3 Amplified music or sound systems must not cause disruption to other Pitch Holders or visitors.
8. Cancellation and Force Majeure 8.1 The Organisers reserve the right to cancel or postpone the Event due to unforeseen circumstances, including adverse weather conditions or government restrictions. 8.2 If the Event is cancelled by the Organisers, Pitch fees will be refunded in full. 8.3 Pitch Holders who cancel their participation will not be entitled to a refund.
9. Liability and Indemnity 9.1 The Organisers accept no responsibility for loss, theft, or damage to Pitch Holders' property. 9.2 Pitch Holders shall indemnify the Organisers against any claims, damages, or expenses arising from their participation in the Event.
